System Login

• Login is provided with LDAP user credentials.
• Personnel information defined in SAP HR is retrieved via the provided web service and automatically displayed in the application.
• Approved pending tasks related to the logged-in personnel are fetched from the SAP HR web service under the "Tasks" tab.

Service Search

• Personnel initiates a search by selecting "purchase" for their related task. For accommodation tasks, a hotel search is performed; for flight tasks, a flight search is made by sending a request to the Tatilsepeti web service.
• The list provided to the personnel is filtered according to the institution’s rules (e.g., maximum selection of hotels or flights up to 6,000 TRY).
• The personnel can then select their hotel or flight from this filtered list and complete their basket.

Visa Procedures

• Personnel can request a visa for possible overseas assignments. When clicking on visa application in the visa menu, personnel details are automatically filled.
• They select the overseas assignment for which they are applying for a visa. If the consulate is on holiday for the selected date, a warning message appears; if not, personnel complete and save the rest of the information.
• Communication with the person monitoring the visa request can be done through a messaging screen linked to the visa request.
• The saved visa application appears on Tatilsepeti user screens. Tatilsepeti starts visa processing.
• If documents are missing, personnel are asked to fill and upload them to the system (in compliance with KVKK - Turkish Data Protection Law), or if there are documents that violate KVKK, they must be sent confidentially via the secure courier system.

Transfer/Car Rental Procedures

• Personnel can request transfer or car rental for their destination.
• They select the task for which transfer/car rental is needed and complete the missing information in the relevant menu.
• The saved transfer/car rental application appears on Tatilsepeti user screens. When transfer/car rental details are confirmed, personnel are informed through the system.

Manual Procedures

• If personnel cannot complete all accommodation and transportation tasks themselves, they can request manual processing.
• Manually requested tasks appear on Tatilsepeti user screens. After approval by the relevant personnel, the tasks must be processed manually in the system.
• The processed information is automatically sent via web service to SAP HR as task completion status.
• Satisfaction surveys can be presented to personnel at any time.

Audit and Logging

• All travel steps (accommodation, transportation, transfer, car rental, visa) can be monitored by users with the highest authority level in the system.
• All system logs are kept. Logs can be accessed and checked through filters like personnel number or date from the log menu.
• Users who make changes on cockpit screens are also logged. Who made what change, when, and where can be monitored by higher-level personnel through these screens.
